How to use WhatsApp Business for client communication without losing professionalism

WhatsApp is the default communication channel for most Indian business relationships — clients expect rapid responses, and the informality is both its strength and its risk. Managing WhatsApp professionally, at scale, requires systems that most companies don't have.

WhatsApp Business (the app) versus WhatsApp Business API (the platform) serve different needs. The app — free, for a single phone number — is sufficient for companies with fewer than 5 people handling client communication and fewer than 50 active client conversations. The API — accessed through business solution providers like 360dialog, Twilio, or Gupshup — supports multiple agents, templated messages, chatbots, and CRM integration. It's appropriate when WhatsApp is a significant client service or lead generation channel.

Set up your WhatsApp Business profile properly: business name (not personal name), category, description (what you do in 2 sentences), address, website, and business hours. Auto-reply for out-of-hours messages — 'Thank you for reaching out to TBC. We're available Monday–Saturday 9 AM–7 PM and will respond within 2 hours during business hours' — sets expectations and reduces the urgency anxiety that WhatsApp creates.

Labels and organisation: use WhatsApp Business labels (Prospect, Active Client, Invoice Pending, Support) to organise your conversations. Without organisation, a busy WhatsApp inbox becomes chaotic and conversations get missed.

Quick replies for common messages: save your most common responses as quick replies — your introductory pitch, your pricing overview, your meeting scheduling message — so they can be sent in 2 taps rather than typed every time.

Maintain professionalism: WhatsApp's informality can undermine your brand positioning. Use complete sentences, proofread before sending, and be responsive without being immediate 24/7. Setting a response time expectation (we respond within 2 hours during business hours) is more professional than either ignoring messages or responding instantly at 11 PM.
