How to set up a professional client-facing meeting space on a budget

Your meeting room is the first physical impression your clients get of your company. It doesn't need to be expensive to be impressive — it needs to be clean, functional, well-lit, and equipped to run meetings without technical friction.

The essentials: reliable AV (a large screen or TV monitor that connects reliably to laptops — wired HDMI and wireless casting both need to work, because clients come with different setups), good lighting (the meeting room should be brighter than the corridor, not dimmer — common mistake), a table and chairs that are comfortable for 90-minute meetings, reliable internet with a guest network, and a proper whiteboard or glass board for working sessions.

The common mistakes: a room that seats 10 but has a projector that only connects to one specific laptop, air conditioning that's either off or arctic, chairs with wheels that don't hold position, and a phone in the corner that nobody can hear. Fix these before any client visits.

Budget-conscious quality: a 55-inch commercial-grade TV (₹30,000–50,000) is more reliable and professional-looking than a projector. A good quality video conferencing bar (Logitech Rally, Jabra PanaCast) at ₹30,000–60,000 transforms hybrid meeting capability. Ergonomic chairs from a commercial furniture supplier at ₹5,000–8,000 each are comfortable without looking expensive.

Small touches that matter disproportionately: a clean, branded presentation on the screen when clients arrive (not a Windows desktop), water on the table before the meeting starts, a notebook and pen at each seat, and good mobile signal or a clearly marked guest WiFi password. These cost almost nothing and create a significantly better impression than a fancier room that's logistically difficult.

Sound management: if your meeting room has glass walls and is next to the main office, conversations will be audible to the office and the office to you. Acoustic panels or wall treatments (₹1,000–2,000 per panel, easily installed) dramatically improve privacy and meeting quality.
