How to manage an office renovation without losing productivity
An office renovation — whether a full redesign or a significant expansion — disrupts the team's work environment, creates noise and dust, and diverts management attention from the business. The companies that manage renovations well treat them as projects with the same rigour as a client project.
Phase the renovation to keep a productive work area available throughout. If you're renovating a 5,000 sq ft office, phase it into sections so that half the team always has a clean, functional workspace while the other half's area is under renovation. This doubles the calendar time but prevents the productivity collapse of a full simultaneous renovation.
Set ground rules for construction hours. Construction work that involves noise, dust, or significant disruption should be scheduled for hours when the team is least impacted — before 9 AM, after 7 PM, and weekends. This requires a contractor who is willing to work non-standard hours (budget accordingly — night or weekend work commands a 20–30% premium) but the productivity preservation is worth it.
Build a realistic timeline and add 30%. Renovation contractors in India systematically underestimate timelines. If they say 6 weeks, plan for 8. Brief your team on the plan, the temporary disruptions, and the expected completion — uncertainty is more disruptive than a longer-than-ideal timeline that's clearly communicated.
Manage dust and air quality actively. Construction dust is a health issue and a data/equipment damage risk. Seal server rooms and equipment areas from construction zones. Use HEPA air purifiers in occupied work areas adjacent to construction. This is inexpensive and important.
Daily site walks by the internal project owner. The site manager from the contractor will manage their team's interests; the internal owner manages yours. Daily 15-minute site walks — checking progress against plan, flagging issues, and maintaining the contractor's accountability — are the most effective project management tool.
